Invite staff, set availability, and manage profiles.

Invite staff

Open Staff

Go to

Booking

Staff

Start an invite

Click Invite Staff.

Choose how to add them

Use Invite New User or Add Existing Member .

Send the invite

For new users, enter an Email Address and click Send Invitation.

Add an existing member

Select a member, then set Display Name, Booking URL Slug, Bio (Optional), and Timezone. Click Add to Booking Team.

Manage staff

  • Active staff appear under Active Staff.
  • Use Settings & Availability to open staff settings.
  • Pending invites show under Pending Invitations with Resend and Cancel.
  • Adding someone as booking staff gives them the Booking access they need for this website when they do not already have it.
  • Staff cards show whether hours, Google Calendar, and Zoom are ready.

Staff settings

Each staff member has a multi‑tab settings dialog.

Availability

Set weekly hours and click Save Availability.

Profile

Update Display Name, Timezone, and Bio, then click Save Profile. If staff profile pages are public-facing, review Team Profile SEO.

Use a public-friendly display name. If the saved display name looks like an email address, public booking pages fall back to the staff member's name instead of showing the email as the profile label.

Use Personal Zoom Link when this staff member should use the same Zoom link for assigned one-to-one Zoom bookings, or when connected Zoom is not available yet.

Time Off

Use Time Off for one-off or repeated staff date changes.

  • Select one date or a date range.
  • Choose Unavailable for time off, holidays, or blocked time.
  • Choose Available when a staff member should open extra time outside normal weekly hours.
  • Use All day for full-day changes or enter start and end times for a partial day.
  • Choose Weekly within range when the same weekday pattern should repeat across the selected range.
  • Date ranges and repeated changes appear as one grouped item, so you can remove the whole group when plans change.

Calendar

Connect Google Calendar and select:

  • Read Calendars (suppress busy slots)
  • Write Calendar
  • Save Preferences

Use read calendars for conflict checks and a write calendar for created or rescheduled bookings.

Zoom Meetings

In the Calendar tab, use Connect Zoom when staff should receive unique Zoom links for Zoom bookings.

  • Connected Zoom accounts can create meeting links during booking confirmation.
  • Reconnect Zoom refreshes the connection when needed.
  • Disconnect removes the Zoom connection for that staff member.
  • Personal Zoom links remain available as the manual fallback.
